The details that matter

Venue accommodation and access: questions for your guests

Check accommodation and access in practical detail. “Bedrooms available” does not mean every guest can stay, and a general accessibility label does not describe every route, room or individual requirement.

How many guests can actually stay?

Ask for bedrooms and sleeping capacity separately, including the occupancy arrangements. Establish what is included in the wedding offer, what guests book themselves, and whether rooms are guaranteed or simply subject to availability. Ask about check-in, check-out, minimum stays, release dates and any commitment for unbooked rooms.

Keep on-site accommodation distinct from nearby suggestions. A hotel a short journey away is not part of the venue’s own sleeping capacity.

Which access details should be confirmed?

Discuss the actual routes your guests need: arrival and drop-off, ceremony, dining, evening space, toilets and any bedrooms. Ask about surfaces, steps, lifts, distances, doorways and where a guest can pause or sit. Describe relevant requirements without sharing unnecessary personal or medical information.

An access statement or written explanation from the venue is more useful than a single badge. Arrange a viewing of the relevant route where practical and clarify who to contact if plans change.

What about guests who are not staying?

Ask about parking arrangements, pickup points and realistic transport options at the expected finish time. Confirm where people wait and whether transport providers can reach the entrance used by your group. Acre leaves unsupported parking counts, transport promises and room allocations unconfirmed.

How should this affect your shortlist?

Separate essential requirements from preferences. Ask each venue the same questions and record whether the answer is confirmed, conditional or still outstanding. A larger total sleeping capacity is not automatically a better fit if the rooms or routes you need are unavailable.

Browse hotel venues and country-house venues, then use the viewing checklist to prepare your questions. Venue representatives can add missing arrangements after claiming their profile; corrections remain free.
