Notice version

Last updated 25 September 2026. Reference: privacy-2026-09-25-r3. Newly submitted claim and enquiry permissions record this reference; earlier records retain the notice reference recorded at the time.

What we collect and why

We process contact details, enquiry content, consent records, venue-claim evidence, account activity and essential security logs. Depending on the interaction, the lawful basis is consent, steps requested before a contract, performance of a contract, legal obligation or Acre’s legitimate interests in operating a secure and accurate service.

Sharing and retention

With explicit permission, enquiry details are sent to the selected venue so it can respond. Service providers may process limited data for hosting, email delivery, security and support under appropriate terms. Records are retained only as long as needed for the stated purpose, legal obligations, dispute handling and security.

Routine enquiry and unfinished claim records

Our free-pilot policy is to remove routine enquiry contact details and messages after 12 months, and uncompleted, unverified venue-claim requests after 90 days. Removal is supervised: a current dispute, privacy request, security investigation, ongoing correspondence or justified legal requirement may require an exception, which we review separately.

This does not remove venue listings, researched facts or approved venue accounts. Relevant copies in our correspondence are handled separately; backups follow their own lifecycle rather than being instantly rewritten. A venue may retain the enquiry it received under its own privacy arrangements. Contact us if you want to exercise your rights before these periods end.

Reviewed claims and closed representative accounts

Rejected or withdrawn claims are reviewed for removal 6 months after their final recorded decision. Claims linked to an account, an active verification process or outstanding delivery need separate review rather than routine removal.

When representative access ends, we disable that account’s access and review its contact details, supporting claim information and linked private submissions for removal or reduction to what is still needed. Public venue facts and another representative’s access are not automatically removed.

We retain minimal references and dates recording the former representative’s authority, the closure decision and its review, to help prevent unauthorised access and resolve questions about those decisions. We review this evidence for removal 12 months after closure, and remove it unless a continuing purpose justifies retention. These periods are Acre’s review policy, not a requirement to keep every record for the whole period. You can request earlier review.

Reviews and removal are supervised, not automatic. Justified exceptions are recorded and reviewed; a review date does not automatically release a hold. Any remaining personal information in approved business updates, correspondence, other service records or backups requires separate handling. Closing access is not a confirmation that every copy has been erased.

Venue business contacts

When Acre prepares or verifies a venue profile, it may record a published business address, the contact’s role, the source and relevant correspondence. A public address is not treated as automatic consent. Before promotional contact, Acre assesses the contact method and subscriber type, identifies itself, provides an opt-out and records objections on a suppression list so the address is not contacted again.

Your rights

UK data-protection rights may include access, correction, deletion, restriction, objection and portability, plus withdrawal of consent. You may also complain to the Information Commissioner’s Office. Acre will verify a request before disclosing personal information.
